- 1
Receive Shipment Notification
Trigger when supplier shipping notification arrives via email or webhook. Extract PO number, supplier name, and expected quantities.
Email trigger or webhook from ERP/shipping platform
- 2
Generate Inspection Checklist
Auto-generate inspection checklist based on material type. Diamond segments require hardness, dimension, and visual checks. Abrasives need grit verification.
Lookup material specs from product database, generate PDF checklist
- 3
Record Inspection Results
Inspector fills digital form with pass/fail for each checkpoint. Photos of defects are uploaded and tagged.
Form submission via mobile device, image upload to cloud storage
- 4
Pass/Fail Decision Gate
If any critical dimension is out of spec or hardness below threshold, route to rejection flow. Otherwise approve for inventory.
IF hardness < spec OR dimension_variance > 0.5mm THEN reject ELSE approve
- 5
Update Inventory and Notify
Approved materials are added to inventory system. Rejected items trigger supplier notification with defect photos and RMA request.
Update inventory DB, send approval/rejection email with inspection report PDF
